Privacy Policy
Last updated on 5 October 2026, Version: 7
Namira Software Corporation (Namirasoft, we, us, or our) is the company behind the Namirasoft Cloud Platform, the applications built on it, and the technical services delivered alongside them.
This Privacy Policy is the Policy of the company. It covers how Namirasoft handles Personal Information across its business, which has three parts. The Website is where the company presents itself. The Products are the applications we operate, and each Product publishes its own Privacy Policy for the information held inside it. The Services are the engagements we deliver for clients. Section 2 sets out which Policy applies to you. We may update this Policy over time; see Changes to This Privacy Policy.
1. Definitions
- Namirasoft: Namira Software Corporation.
- Website: namirasoft.com, including its pages and the forms on them.
- Product: an application Namirasoft operates and offers to users, listed on the Products page and governed by its own Privacy Policy.
- Services: the professional work Namirasoft performs for clients, listed on the Services page, covering consultation, application development, cloud platform deployment, infrastructure setup, DevOps automation, and support.
- Engagement: a single delivery of the Services to a client under an agreement that sets out its scope and duration.
- Client: an organization that has engaged Namirasoft to deliver the Services, together with the people who act for it.
- Namirasoft Services (the ecosystem): the broader family of Namirasoft Products that operate with your Namirasoft Account.
- Personal Information: information that identifies, relates to, or can reasonably be linked to an identifiable individual, including you.
- Processing: any operation performed on information, such as storing, transmitting, or organizing it.
2. Scope and Which Privacy Policy Applies
Namirasoft publishes a Privacy Policy for each Product in addition to this one, so which Policy applies depends on your relationship with the company rather than on which page you are reading.
- You visit the Website or contact the company. This Policy applies, and sections 3 through 12 describe what is collected and how it is handled.
- You enquire about the Services, or discuss a partnership with us. This Policy applies, and section 14 describes how information is handled once an Engagement begins.
- You are a Client, or you act for one during an Engagement. This Policy applies, together with the agreement for that Engagement, which prevails where it sets specific terms for the information involved.
- You use a Product. That Product’s Privacy Policy applies to the information held inside it, as described in section 13. This Policy does not govern the records you keep in a Product.
- You sign in to a Product. The Namirasoft Account Privacy Policy governs your identity, registration, and sign-in, and the Namirasoft Access Privacy Policy governs the permissions that let another user or a Service User act on your behalf.
- You open a support ticket. The Namirasoft Support Privacy Policy governs the tickets and conversations you open through Namirasoft Support.
3. Information We Collect
What Namirasoft collects depends on how you deal with the company, so this section is grouped by context. Information held inside a Product is not covered here and is described in section 13.
When you visit the Website
- Technical and usage information. This is what a browser sends when a page is requested, such as the IP address, browser and device type, operating system, the pages visited, the page that referred you, and the date and time of the visit, collected through Google Tag Manager and Google Analytics.
- Cookie preferences and session details set by the Website and by the chat and booking tools described in section 19.
When you contact the company
- What you enter in a form. These are the first name, last name, email address, and phone number entered in the form, together with the message written in it, submitted from the contact form, the Cooperation form, or the forms on other pages.
- What you provide when you book a meeting. Meetings are booked through Koalendar, which collects the name, email address, and any details entered for the booking, and sends them to us so the meeting can be held.
- What you write in the live chat. Chat on the Website is operated by Tawk.to, which carries the messages exchanged in the chat window and the technical details of that session.
- Your marketing preference. The forms include a checkbox for receiving updates, alerts, and promotional email from Namirasoft, and your choice is recorded with your submission.
When you enquire about the Services or a partnership
- The business details needed to assess the request. These are the name and role of the people we deal with, their business contact details, the organization they represent, and what they describe about the work, the systems, and the outcome they are seeking.
- The correspondence that follows. This is the record of the exchange, including meeting notes, requirements, proposals, and the decisions taken.
When we deliver an Engagement
- Contract and contact information for the Client, including the people authorized to instruct us and to receive the work.
- Project information produced during delivery, such as specifications, designs, configurations, tickets, and the record of what was delivered and when.
- Access to the systems within the agreed scope. Delivery may require working in a Client system, environment, or dataset, which can contain Personal Information the Client holds. Section 14 describes how that access is handled.
You decide what to put in a message or a project document, so include only what is needed for the purpose at hand.
4. Information We Do Not Collect
Namirasoft does not:
- create accounts or collect sign-in credentials through the Website, which are handled by Namirasoft Account under its own Policy;
- take the records you keep inside a Product out of that Product for any purpose described in this Policy;
- collect payment card numbers or banking details through the Website, which are handled by our payment processors when you buy a Product or pay for an Engagement;
- ask for sensitive categories of information, such as health, financial account, or government identifier details;
- use information reached during an Engagement for anything other than delivering that Engagement;
- sell Personal Information, or use what you send us for advertising to you on other websites.
5. Consent and Legal Grounds
Namirasoft generally collects, uses, and discloses your Personal Information with your knowledge and consent, which may be express or implied depending on the sensitivity of the information and the circumstances. You give express consent when you submit a form on the Website, and separately when you tick the checkbox to receive marketing email. Browsing the Website and the technical information that visit generates are handled on the basis of implied consent and our legitimate interest in operating and securing the Website. Information handled for an Engagement is processed to enter into and perform the agreement with the Client. In some cases, applicable law allows or requires us to handle Personal Information without consent, for example for security, fraud prevention, technical operation, or legal compliance. Where our activities are also subject to laws that use a legal basis framework, such as for individuals outside Canada, we rely on the appropriate basis for the activity, including performance of a contract, our legitimate interests, consent, and compliance with legal obligations.
6. Consent and Withdrawal
Where we rely on your consent to process Personal Information, you may withdraw it at any time. You can stop receiving marketing email through the unsubscribe link in any such message, or by contacting us. You can decline or clear analytics cookies through your browser settings as described in section 19. Withdrawing consent does not affect processing already carried out, it does not affect information we are required to keep under an agreement or by law, and where you withdraw consent to be contacted we may be unable to answer a request you have sent us.
7. How We Use Information
We use the information above to:
- answer your message, prepare for a meeting you book, and continue the conversation you start;
- assess a Services or partnership enquiry, prepare a proposal, and agree the terms of an Engagement;
- plan, deliver, support, and invoice the work agreed with a Client;
- send you updates, alerts, and promotional email where you have asked to receive them;
- understand how the Website is used so we can improve its content, structure, and performance;
- maintain the security, availability, and integrity of the Website, the Products, and our own systems, and diagnose problems with them;
- meet our legal, accounting, and regulatory obligations as a company.
8. Automated Decision-Making
Namirasoft does not make automated decisions about you in any part of its business described in this Policy. We do not profile you, score you, or take automated action on your behalf, and the analytics we use report how pages are used rather than evaluate individuals. Where a Product performs a calculation or an automated step, that Product’s own Privacy Policy describes it.
9. Sharing and Disclosure
Namirasoft does not sell Personal Information. We share information only as follows:
- Within Namirasoft so that the team responsible for your question, your enquiry, or your Engagement can act on it;
- Service providers that host our systems and the Website, deliver its content, provide the chat and meeting booking tools, send our email, process payments, and provide analytics, bound by confidentiality and permitted to use the information only to provide their services to us;
- With a Client where the information concerns the Engagement delivered for that Client;
- Legal and safety where required by law or to protect rights, safety, and the integrity of our systems;
- Business transfers such as a merger, acquisition, or sale of assets, subject to this Policy;
- At your direction or with your consent when you ask us to share information or otherwise agree;
- Aggregated or de-identified information that cannot reasonably identify you.
10. International Transfers
Namirasoft is based in Canada, and your information may be processed in Canada and in other countries where we or our service providers operate. We handle information in accordance with applicable Canadian privacy laws, including PIPEDA and applicable provincial privacy legislation, and we take steps intended to ensure your information remains protected when it is processed in another country. Where required by applicable law, we use appropriate safeguards for such transfers. Because privacy laws differ between countries, information processed in another country may be subject to that country’s laws.
11. Security Commitment
Namirasoft maintains administrative, technical, and organizational measures to protect Personal Information under its control against unauthorized access, disclosure, alteration, misuse, loss, or destruction. These measures may include encryption in transit, access controls, network protections, monitoring, and logging, and we continually review and strengthen them. Access to information within the company is limited to what is needed to answer you, deliver the work, and operate and secure our systems, under confidentiality obligations and internal controls. We maintain procedures to identify, assess, and respond to security incidents involving Personal Information. Where a security incident affecting Personal Information creates a real risk of significant harm, or where notification is otherwise required by applicable law, we will notify affected individuals and the relevant regulators, and keep records of the incident, in accordance with applicable law.
12. Data Retention
We retain information only for as long as it is necessary for the purposes described in this Policy, including to answer you, to maintain a record of our correspondence and our agreements, and to meet our legal, security, and operational requirements. Messages and booking details are kept for as long as the conversation they belong to remains relevant, and for the period after it during which a follow-up is reasonably expected. Marketing contact details are kept until you unsubscribe or ask us to remove them. Engagement records are kept for the term of the agreement and for the period afterwards required by that agreement and by the accounting, tax, and limitation periods that apply to us. Analytics information is kept for the retention period configured in Google Analytics. Retention of the records inside a Product is governed by that Product’s own Privacy Policy. When information is deleted, it is removed from active use and then permanently erased by our automated systems, and copies may remain in secure backups until they are replaced in the ordinary course.
13. Products
Namirasoft operates a family of Products, each listed on the Products page with its own Privacy Policy. The records you keep inside a Product are held by that Product and handled under that Product’s Policy, which describes what it collects, how long it keeps it, and the rights you have over it. This Policy does not govern those records. Identity, registration, and sign-in across the Products are handled by Namirasoft Account under the Namirasoft Account Privacy Policy, and the permissions that let another user or a Service User act in a Product are granted through Namirasoft Access under the Namirasoft Access Privacy Policy. This Policy applies to a Product only in what Namirasoft does as a company around it, such as answering a message you send us about it.
14. Services and Engagements
Delivering an Engagement may require access to a Client system, environment, or dataset, and that content belongs to the Client rather than to Namirasoft. The access is governed by the agreement for the Engagement, which sets out what it covers and how long it lasts. Namirasoft acts on the Client’s instructions in that work, limits access to the people performing it, keeps it under confidentiality obligations, and does not use information reached through an Engagement for any purpose other than delivering it. Where that information includes Personal Information, the Client remains responsible for having a lawful basis to collect and use it and for the notices and consents owed to the individuals it concerns, and a person asking to exercise a right over it is directed to the Client. At the end of an Engagement, access is withdrawn and the information is returned, deleted, or retained as the agreement provides.
15. Third-Party Websites and Services
Namirasoft links to places it does not operate, including our profiles on LinkedIn and Instagram, the package and repository pages for our software, and the meeting booking and live chat tools described in section 3. The Website also links to each Product console, which Namirasoft operates under that Product’s own Privacy Policy. When you follow a link to a service we do not operate, that service collects and handles information under its own terms and privacy policy, and we recommend reviewing those before you use it.
16. Your Privacy Rights
Under applicable law you may have rights over your Personal Information, such as to access it, correct it, request its deletion, object to or restrict certain processing, withdraw consent, or receive a copy in a portable form. To make a request about information held by the company, contact us using the options in the Contact Us section at the bottom of this page, and we will handle it in accordance with applicable law, which may include retaining a record where we have a legitimate or legal basis to do so. For rights over the records held inside a Product, use that Product and its own Privacy Policy, and for identity and account rights use Namirasoft Account. Where a request concerns information Namirasoft holds on behalf of a Client, we direct the request to that Client and support them in answering it. To protect your information, we may need to verify your identity before we respond, within the timeframes and subject to the exceptions set out in applicable law.
17. Children’s Privacy
Namirasoft serves businesses, and neither the Website nor the Services are directed to individuals under 18. We do not knowingly collect Personal Information from individuals under 18, and if we learn that we have received such information we will delete it. Eligibility for a Product account is determined by Namirasoft Account under its own Policy. If you believe a person under 18 has sent us information, contact us using the options in the Contact Us section at the bottom of this page.
18. Communications and Marketing
When you send us a message, book a meeting, or work with us on an Engagement, we reply to the address you gave us, and those replies are part of answering you and delivering the work. We send marketing email only where you have asked to receive it by ticking the consent checkbox on a form, in accordance with Canada’s anti-spam legislation. Every marketing message identifies Namirasoft, gives a way to contact us, and includes an unsubscribe link that takes effect promptly. Unsubscribing from marketing email does not stop the replies and operational notices we send about a message you have sent us, an Engagement you are part of, or a Product you use.
19. Cookies and Tracking
The Website uses cookies that are strictly necessary to serve and secure its pages, together with Google Analytics cookies, delivered through Google Tag Manager, that help us understand how the Website is used. The live chat and meeting booking tools described in section 3 set their own cookies so that a chat or a booking can continue across pages. Google, Tawk.to, and Koalendar operate those tools under their own privacy terms. The Website also loads fonts and front-end libraries from Google Fonts and jsDelivr, which receive the request needed to deliver those files. The cookies used inside a Product are described in that Product’s own Privacy Policy. You can accept, refuse, or delete cookies through your browser settings, and the Website remains available to read if you refuse the ones that are not strictly necessary.
20. Accountability and Privacy Contact
Namirasoft is responsible for the Personal Information under its control and takes steps to ensure that such information is handled in accordance with this Privacy Policy and applicable privacy laws. Namirasoft has designated a person accountable for its compliance with this Privacy Policy, and their identity is available on request. That accountability covers the Website, the Products, and the Services alike, and each Product Privacy Policy carries the same commitment for the information it governs. Questions, requests, or concerns regarding Namirasoft’s privacy practices or the handling of Personal Information may be submitted using the contact options in the Contact Us section at the bottom of this page.
21. How to Make a Complaint
If you have a concern about how we handle your Personal Information, you may submit a complaint using the contact options in the Contact Us section at the bottom of this page. We will review and respond to your complaint in accordance with our privacy procedures and applicable law. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or the privacy regulator in your province, as applicable.
22. Changes to This Privacy Policy
Namirasoft may update this Privacy Policy from time to time to reflect changes in our business, our practices, or legal requirements. When we make changes, we revise the effective date and post the updated Policy here. For minor or clarifying updates, your continued dealing with Namirasoft after the updated Policy is posted indicates your acceptance of it. Where a change materially affects how we collect, use, or disclose your Personal Information, we will show you what has changed and, where your consent is required, ask for it before the change applies to you. Each Product Privacy Policy is updated on its own and announces its own changes.
