What Is the General Ledger?

The general ledger is the detailed record of every debit and credit posted to your accounts, in date order, with a running balance for each account. It is where you go to see exactly what made up an account’s balance and to trace any figure back to the journal entry behind it.

 

Why the General Ledger Matters

Summary reports tell you where you stand, but the general ledger tells you why. It is the report you use to review activity, investigate a balance, and answer questions during a reconciliation or an audit, because every line links back to its source entry.

 

How Namirasoft ERP Produces the General Ledger

You choose a company, branch, fiscal year, and date range, then narrow the report with filters such as account, party, or tag. Namirasoft ERP lists the matching lines with opening and closing balances for the period, and can convert amounts to the branch currency when you work across currencies.

 

Overview of General Ledger Filters and Options

The sections below explain each filter and option you can set before running the report.

 

  • Company (String): This limits the report to a single company. It sets which set of books you are looking at.

 

  • Branch (String): This limits the report to one branch within the company. Leave it empty to include every branch.

 

  • Fiscal Year (String): This selects the accounting period the report is based on, which sets its opening balance and boundaries.

 

  • Date From (DateTime): This is the start of the date range. Only lines dated on or after this date are included.

 

  • Date To (DateTime): This is the end of the date range. Only lines dated on or before this date are included.

 

  • Accounts (List): This limits the report to one or more accounts. Leave it empty to include all accounts.

 

  • Party Types (List): This limits the report to lines whose party is of the selected types, such as Customer or Supplier.

 

  • Parties (List): This limits the report to one or more specific parties, which is useful for producing a statement for a single customer or supplier.

 

  • Tags (List): This limits the report to lines carrying the selected tags, such as a cost center or project.

 

  • Currency (String): This limits the report to lines recorded in a particular currency.

 

  • Has Party (Boolean): This filters the report to lines that have a party attached, so you can focus on receivable and payable activity.

 

  • Has Tag (Boolean): This filters the report to lines that carry at least one tag.

 

  • Show Debit (Boolean): This chooses whether debit lines are included in the report.

 

  • Show Credit (Boolean): This chooses whether credit lines are included in the report.

 

  • Convert to Branch Currency (Boolean): This converts amounts into the branch’s default currency using your recorded exchange rates, so a mixed currency ledger can be read in one currency.

 

How to Read the Report

For the filters you set, the general ledger returns the opening balance, the matching lines, and the closing balance for the period. Each line shows the details below.

 

  • Date: the date of the journal entry the line belongs to
  • Journal Entry: the entry’s description and whether it has been finalized
  • Account: the account the line posted to
  • Party: the party on the line, when one is set
  • Tags: any tags carried by the line
  • Currency: the currency and symbol of the amount
  • Debit and Credit: the amount posted on each side
  • Balance: the running balance after the line
  • Marked and Checked: review flags recorded on the line
