Lock Console Guide
This page provides a complete guide to the Lock section of the Namirasoft ERP Console. A lock prevents changes to transactions up to a chosen date, so a closed period stays closed. This guide explains each field on the Lock form.
What Is a Lock?
A lock is a cut off date that stops journal entries from being added or changed on or before it. It is how you protect a period once it has been reviewed or closed, so figures that have already been reported cannot be altered by accident.
Why Locks Matter
Once you have closed a month or a year and reported the numbers, those records need to stay fixed. A lock guards against late edits that would change balances people have already relied on, which keeps your books trustworthy and your audit trail intact.
How Namirasoft ERP Handles Locks
You set a lock with a date, and everything up to that date is protected. A lock can apply broadly to a company and branch, or you can narrow it to a specific account, party type, or party when you need to freeze only part of your activity.
Overview of Lock Fields and Options
The sections below explain each field on the Lock form.
-
ID (String): This is the unique identifier automatically assigned to the lock by Namirasoft ERP when it is created. You do not enter this value; it is used internally to reference the lock.
-
User ID (Namirasoft Account’s ID): This is the unique ID of the Namirasoft Account that created the lock. It links the record to the user who owns it for access control and history.
-
Company (String): This is the company the lock applies to.
-
Branch (String): This is the branch, a location or division within the company, that the lock applies to.
-
Account (String): This is an optional account to limit the lock to. When set, only entries touching this account are frozen; leave it empty to lock activity regardless of account.
-
Party Type (String): This is an optional party type to limit the lock to, such as Customer or Supplier. Leave it empty to lock activity regardless of party type.
-
Party (String): This is an optional single party to limit the lock to. Leave it empty to lock activity regardless of party.
-
To Date (DateTime): This is the cut off date of the lock. Entries dated on or before this date cannot be added or changed within the scope you set, while later dates remain open for normal work.
-
Enabled (Boolean): This controls whether the lock is active. Turn it off to lift the lock without deleting the record, and on again to reapply it.
-
Description (String): This is an optional note where you can record why the lock was set, such as the period it closes.
-
Created At (DateTime): This shows the exact date and time the lock was created. It is set automatically and does not change.
-
Updated At (DateTime): This shows the last time the lock was edited. It helps you track when the record was last maintained.
